In short. Vactorzi uses an AI-supported Facebook Messenger assistant to answer design enquiries, keep context, organize project enquiries, and refer questions requiring a human decision to WhatsApp Business. We store limited records, use external service providers, and offer a way to request deletion. Please do not send passwords, card details, sensitive personal information, or confidential material through the AI chat.
01 / Who we are
Vactorzi is a graphic design portfolio and services brand. This policy covers the Vactorzi Facebook Page Messenger AI assistant and related handling of project enquiries and leads.
For privacy requests, contact vactorzi.official@gmail.com.
02 / Information we process
- Messenger identifiers and messages: the Page-scoped sender ID, incoming message identifiers, the text customers send, and assistant responses.
- Design-project details: information customers choose to give, such as service interest, brand or business name, project brief, budget indication, and preferred timeline.
- Conversation status: whether a conversation is AI-handled or has been transferred to human follow-up, plus the reason for the handoff.
- Operational data: limited processing status and technical error information used to prevent duplicates and troubleshoot failures.
We do not ask for passwords, card numbers, bank credentials, or sensitive personal information in the AI assistant. Avoid sending such information. The current project-lead record is designed not to save phone numbers or email addresses as lead fields, although information typed into a Messenger message may appear in the temporary conversation history.
03 / Why we use it
- Answer general enquiries about design services, requirements, and portfolio-related questions.
- Remember earlier messages within the conversation to make replies consistent and relevant.
- Organize project-enquiry details for owner follow-up, without creating a binding price or delivery promise.
- Refer final pricing, payment, discounts, and special project commitments to a human via WhatsApp Business.
- Prevent duplicate replies, detect failed processing, and protect the Messenger webhook.
We do not use Messenger enquiries for unsolicited marketing messages. We do not sell customer data.
04 / AI processing and service providers
Meta Messenger
Messages are sent through Facebook Messenger and the Meta Messenger platform. Meta processes information under its own Privacy Policy.
Google Gemini API
For AI replies, the assistant sends recent conversation text to Google's Gemini API for processing. Vactorzi currently uses the unpaid Gemini API tier. Under Google's terms for unpaid services, submitted content and generated responses may be used to improve Google's services and may be reviewed by humans. Do not share confidential or sensitive information in the chat. See the Gemini API Terms.
Cloudflare Workers and D1
Cloudflare operates the webhook processing service and the D1 database used for message history, duplicate-message tracking, conversation state, and project-enquiry notes. See Cloudflare's privacy policy.
Telegram and WhatsApp
When human follow-up is needed, a notification may be sent to the Vactorzi owner through Telegram. It can include a Messenger sender ID, the handoff reason, and a short excerpt of the latest customer message. Customers may separately choose to contact Vactorzi using a WhatsApp Business link. Once they move to WhatsApp, that conversation is subject to WhatsApp's own practices. We do not automatically transfer Messenger chat history into WhatsApp.
05 / Retention
The following periods describe the Vactorzi Cloudflare D1 setup. A scheduled daily cleanup has been configured; actual deletion depends on the cleanup job running successfully.
| Record | Planned D1 retention |
|---|---|
| Messenger conversation text and AI replies | 30 days from each message |
| Duplicate-message processing records | 7 days |
| Project-enquiry / lead notes | 30 days after their latest update |
| Inactive AI conversation state | Cleaned after inactivity and once no retained messages remain |
| Human handoff state | Kept until the owner manually resumes or otherwise resolves the conversation |
These limits concern records in Vactorzi's D1 database, not any copies retained independently by Meta, Google, Telegram, WhatsApp, or other providers under their own policies.
06 / Choices and privacy requests
You can stop messaging the Page at any time. If you want to request access to, correction of, or deletion of information that Vactorzi controls, email vactorzi.official@gmail.com. Explain that your request concerns the Vactorzi Facebook Messenger assistant and provide enough information for us to find the conversation, without sending a password or sensitive data.
We may need to verify that you control the relevant Messenger conversation before acting. Applicable law and legitimate security or recordkeeping requirements may affect what we can delete. Requests concerning records held independently by Meta or Google may need to be directed to those providers.
See our Data Deletion Instructions for a straightforward procedure.
07 / Security
Vactorzi uses HTTPS webhook endpoints, checks Meta's webhook signature, stores API credentials as cloud secrets, and uses message identifiers to help avoid repeated processing. No internet service is completely risk-free. We review technical issues as needed and limit information collected to what supports design enquiries and system operation.
08 / Changes to this policy
We may update this notice when the Messenger assistant, service providers, data practices, or applicable requirements change. The revision date at the top of this page will be updated. Important changes will be reflected here.
